How do I perform bulk file updates?

This guide will walk you through the steps to perform bulk file updates.

Steps:

1. Log in to your Policy Passport profile


2. Click "Admin"

Click 'Admin'


3. Click "Files"

Click 'Files'


4. Select the files you want to bulk edit

  • To be able to perform a bulk action, you firstly need to group all of the files you intend to edit, into a list.
  • Select the check boxes next to all of the files you want to add the list.

5. Click "Lists / Reports"

6. Click "+ Create new list"

7. Optionally, rename your list

8. Click "Save"

9. Choose a bulk action to perform

  • You can choose from the following bulk actions:
    • Clear list: Will remove all of the files from the list but won't delete the list.
    • Archive all: Will archive all of the files within the list.
    • Unarchive all: Will unarchive all of the files within the list. 
    • Publish all: Will publish all of the files within the list. 
    • Unpublish all: Will unpublish all of the files within the list. 
    • Bulk edit: Will allow you to edit all of the files within the list simultaneously. 
    • Assign:
    • Export: Will allow you to export the list into an excel spreadsheet. 
    • Delete files: Will delete all of the files within the list 
    • Delete list: Will delete the list but not the files. 
Choose a bulk action to perform


To perform a bulk edit, follow the additional steps below.

1. Click "Bulk edit"

2. Choose the file attributes you wish to edit

  • You can change the following attributes:
    • Remind on: The date to be reminded on to change or update a file
    • Days to complete: The number of days it should take a user to complete the files once they have been assigned. 
    • Feedback required: To enable or disable the ability for users to provide feedback on the file after they have completed it.
    • Approved by: 
    • Approved on: 
    • Document owner: The owner or creator of the file.
    • Acknowledgement required: To enable or disable acknowledgements on the files.
    • Acknowledgement text: Customize the message displayed to users when they're prompted to acknowledge the contents of a file. This message usually includes details about the acknowledgment's purpose and provides contact information for any inquiries related to the file.
    • Note: Customize the display note of the files. 
    • Tag: Add or remove tags to the files.
    • Groups: Add or remove the files from groups. 
Choose the file settings you wish to edit


3. Click the checkmark button next to the attributes you wish to change

5. Repeat the process for all of the attributes you want to change

6. Click on "Submit" once you are happy with your changes
