09 - Import Trainees into ELLO

PurposeTo correctly import new or updated trainee data into ELLO after the Datawash process is completed and the final Excel workbook is ready. 


Instructions

1. Access Client Profile

  1. Log in to ELLO.

  2. Navigate to the applicable Client profile.


2. Start Import Process

  1. Scroll to Import Batches.

  2. Click on Import users.


3. Create New Batch


  1. In Create new batch, enter the batch name using the naming convention:
    companyname-businessunit-programmeabbreviation-date

    • All lowercase

    • Hyphen-separated

    • No spaces

    • Example: fnb-sales-cpa-17feb2017

  2. Under Choose group:

    • If the client has a single business unit – select that business unit.

    • If the client has multiple business units – repeat the import process for each unit separately, selecting the correct business unit each time.


4. Upload the File

  1. Click Browse and select the applicable datawash spreadsheet updated in the previous step.  

  2. Ensure:

    • No more than 499 trainees per sheet.

    • If more, split into separate import sheets.

  3. Click Upload.


5. Verify Upload

  1. Refresh the screen to confirm import success:

    • Number of successful imports = number of trainees in workbook.

    • Unsuccessful imports = 0.

  2. If there are unsuccessful imports:

    • ELLO will display errors.

    • Click the edit icon to view and correct data if necessary.


6. Troubleshooting

  • If there are many errors, correct them in the original workbook and re-upload.

  • Special characters in the spreadsheet will stop the process.

  • If upload halts partway:

    • The first error is usually in the line immediately after the last successfully imported record.

    • Example: If 154 of 200 import successfully and process halts, check line 156.

  • After correcting errors, upload again.
